Events Policy

Fully AKC-licensed Affiliate clubs may apply for the use of event numbers not less than sixty (60) days prior to show/trial application deadline. Requests for consideration by the BCSA Board of Directors must be accompanied by proof of liability insurance, a proposed or previous to within two years show/trial budget and a copy of the completed AKC event application. Use of event numbers is granted by a majority vote of the Board. Not fewer than five BCSA members among the Affiliate’s membership must be available to the Affiliate’s show/trial organizing committee and present on the day of the event. All proceeds and losses of such events are the sole responsibility of the Affiliate club.

AKC licensed organizations outside of the BCSA and its Affiliate Club program may make application for the use of BCSA event numbers to hold a co-sponsored event. Application and requirements as detailed for BCSA Affiliates above apply in all cases, with the additional requirement that 50% of net profits resulting from all BCSA numbered events is to be paid to BCSA. Any losses resulting from such events are the sole responsibility of the outside organization.

Individuals or committees comprised of five BCSA members may propose to hold BCSA AKC events for the sole benefit of BCSA after costs. Application to hold such events must be made to the BCSA Board of Directors not less than ninety (90) days prior to the AKC application deadline. Because such events will be assumed under the complete responsibility and liability of the BCSA, applicants to hold such events must expect a greater role of the BCSA Board of Directors with respect to oversight of event planning and execution.

Associate Affiliate Clubs may propose to hold BCSA AKC events for the purpose of raising money to start their new affiliate club. Five BCSA members must be on the show/trial committee. Application to hold such events must be made to the BCSA Board of Directors not less than ninety (90) days prior to the AKC application deadline. 50% of net profits resulting from all BCSA numbered events is to be paid to BCSA. Because such events will be assumed under the complete responsibility and liability of the BCSA, applicants to hold such events must expect a greater role of the BCSA Board of Directors with respect to oversight of event planning and execution. This policy is not intended to take the place of the new club working to obtain status as an AKC Licensed club.

Sponsored Events

The BCSA is happy to sponsor Regional Activities in the name of the BCSA. Please read the following when choosing to request sponsorship for Agility or Herding venues.

To request a Sponsored Event, please consider the following:

  • Send your request in writing to the BCSA Board along with a sample budget. The Board will consider your request and respond no later than the next scheduled Board meeting.

  • Most, if not all, of the expenses can be pre-paid. By submitting an expense request to the Treasurer, your expense can be paid directly by the BCSA, minimizing out-of-pocket expense to you. Such expenses include facilities, ribbons, and judge’s airfare.

  • We understand volunteers are an invaluable source of success at a trial. Please contact us for worker raffle items, as we keep items on hand for volunteers.

  • You will be assigned a Board Member Liaison to be a point person should any issue arise requiring the BCSA’s attention.

  • Once the trial is completed:

    • Please have receipts submitted within two weeks of the trial end date, where possible.

    • We would also like a brief write up and photos of the event to be published in Borderlines.

For your convenience in planning your event, please download this PDF version of a sample budget. Thank you for considering a BCSA Sponsored Event!
